Monthly n8n operations partnership — written reports, written turnaround, no calls required.
Automations built to last.
A workflow ships, runs for three months, then something drifts. A credential rotates. A vendor changes a webhook signature. An n8n minor version deprecates a node. Nobody notices until a customer reports the outage.
The retainer is the ongoing oversight layer that catches drift before customers do — delivered as written reports on a monthly rhythm.
Async. Written. Monthly cadence. Cancel any month with one written notice.

Fit
Who this is for
You have n8n running in production. Workflows you depend on. Maybe you commissioned them from me. Maybe from someone else. Maybe you built them yourself.
Either way, the build phase is over and the operate phase has started. You'd rather pay a flat monthly fee for a written health report and bounded turnaround than try to remember to audit it yourself every quarter.
Three tiers depending on how central n8n is to your revenue.
Tiers
The three tiers
Tier 1 — Watch — $697 / month
For stable instances that mostly run themselves but where you want a monthly third-party look.
Included: monthly health report (PDF) delivered in the first week of each month · 48-hour written turnaround on questions you send me during the month · no implementation hours — questions get answered in writing, fixes do not get applied.
Best fit: your instance is stable. You have one or two workflows that matter. You want monthly visibility plus an expert you can email when something feels off.
Tier 2 — Maintain — $1,247 / month
For actively-used instances with occasional changes.
Included: monthly health report in the first week of each month · up to 4 implementation hours per month for fixes, tweaks, small improvements · 24-hour written turnaround on questions and on small fix requests · unused hours do not roll over.
Best fit: you ship workflow changes most months. You want bounded fix capacity included. You'd rather not negotiate a small invoice every time something needs adjustment.
Tier 3 — Operate — $1,997 / month
For instances central to revenue or compliance.
Included: monthly health report in the first week of each month · up to 10 implementation hours per month for build, fix, refactor work · 12-hour written turnaround on questions and fix requests during business days · quarterly architecture review (every third month the health report is replaced by a deeper-dive architecture review covering scaling, refactor candidates, and 90-day roadmap recommendations) · unused hours do not roll over.
Best fit: your n8n stack is load-bearing for revenue, fulfillment, or compliance. You want an embedded operations partner without the cost of a full-time hire.
All tiers
What's included across all three tiers
- Monthly written health report (PDF), delivered in the first week of each month
- Written-only communication — email, Slack Connect, or your project tool of choice
- NDA-friendly throughout
- Cancel any month with one written notice before the 25th of the prior month
- No long-term lock-in
- Pause for up to 60 days per calendar year at zero cost (holiday freeze, hiring transition)
Scope exclusions
What's NOT included
- Discovery calls. The intake is a written brief. Subsequent communication is written by default.
- Same-day emergency response. SLA windows are 12h / 24h / 48h written depending on tier. For genuine 24/7 incident response, hire an on-call team — that's not what this is.
- Net-new builds beyond included hours. If a request exceeds your tier's hours, I send a written change-order. You accept or defer.
- Hosting infrastructure costs. You pay for the server, cloud, and any third-party tools. I cover my time.
- Tier upgrades or downgrades within the same month. Changes take effect the following month.
- Multi-instance management within a single tier. Each retainer covers one n8n instance. Multiple instances = multiple retainers.
- Workflows hosted on Zapier, Make, Pipedream, or Power Automate. This is n8n-only.
Process
How it works
- 01
You pick a tier.
Watch, Maintain, or Operate. Subscribe via Upwork or direct invoice.
- 02
You send the intake.
One written page: instance URL, access credentials (or how to share them securely), what workflows are running, what you want me watching, your preferred written channel.
- 03
I do the first-month deep-read.
During the first month I read every workflow, audit the production layer, and produce a first-month report that's roughly twice the length of subsequent monthly reports.
- 04
Monthly rhythm kicks in.
Each month I review the instance, write the health report, deliver it in the first week, and respond to questions and fix requests within your tier's SLA for the rest of the month.
- 05
You decide to continue or cancel each month.
No annual contract. One written notice before the 25th cancels the following month.
Proof
Sample monthly report outline
The monthly health report is a PDF, approximately 3–5 pages depending on instance complexity. The proprietary playbook of what I inspect to produce each section stays internal.
Section 1 — Headline
Overall instance health verdict — green, amber, or red. The single most-important thing that changed since last month. The single most-important thing you should do in the next 30 days.
Section 2 — Uptime
Instance availability for the month, expressed as a percentage. Count plus duration of any downtime windows. Cross-referenced against the monitoring source and n8n's internal execution log.
Section 3 — Workflow Execution Stats
For each workflow currently active: total runs this month · success rate · average duration · p95 duration · count of runs that went to retry · count of runs that landed in DLQ. Compared to last month so you see drift.
Section 4 — Error Patterns
Repeated failures from a specific external API. Timeouts on a particular node. Authentication errors on a credential nearing rotation. Each pattern gets one or two sentences plus a verdict on whether it warrants action.
Section 5 — Secrets Rotation Status
For each credential in the instance: when it was last rotated · when it should next be rotated · whether the upstream vendor has announced any deprecation or scope change. Items requiring action flagged explicitly.
Section 6 — Dependency Updates Pending
n8n minor and patch versions available. Node packages with breaking changes announced. Postgres or Caddy updates relevant to the stack. Each item gets a recommendation: apply now, apply next month, defer.
Section 7 — Recommended Actions for Next Month
A prioritized list of 3–7 actions for the next 30 days. Each action: one line of description, an effort estimate (sub-hour / half-day / full-day / multi-day), which tier of work covers it (included in your retainer hours, or change-order needed).
Section 8 — Implementation Log
For tiers 2 and 3 only. List of work completed this month, with hours used and hours remaining in the tier's allowance.
